Who I am

My name is Kristina Tandl and I provide freelance translation, proofreading, localisation and transcreation services. I am based in the UK and provide my services to clients in both the UK and the EU. As such, I am subject to the requirements of the European General Data Protection Regulation (EU) 2016/679 (GDPR) and I am registered as a data controller with the data protection supervisory authority in the UK (Information Commissioner’s Office).

I am committed to maintaining the trust and confidence of visitors to my website as well as my clients, colleagues and suppliers. This Privacy Policy outlines how I collect and use your personal data and how I keep it secure.

Collection of personal data

I collect the following data:
• Personal identification information (name, postal & e-mail address, phone number, etc.)
• Banking details and VAT numbers
• Payment and delivery conditions
• Information in documents and reference material sent to me for translation, revision, localisation or transcreation

Use of personal data

I collect, store and use the abovementioned personal data for the purpose of issuing quotes and providing my services as requested by you or to comply with legal requirements.

I do not use personal data for marketing purposes.

I collect and process personal data by means of:

• The contact form and the browser’s cookies on this website
• Direct emails
• Documents or reference material sent to me for translation, revision, localisation or transcreation

Storage of personal data

I take all possible precautionary measures to guarantee that your personal data is safeguarded. This includes storing your personal data securely on password-protected computers with active anti-virus software installed on the equipment and regular equipment updates implemented.

Third-party access to personal data

If I outsource all or part of the service you requested to a colleague, the text will be anonymized, so that your personal data will not appear. Furthermore, I will ensure that the colleague in question is also GDPR compliant and will process your documents accordingly. Other parties, such as my website and email hosting provider, may have access to your personal data for administrative purposes. All these parties are GDPR compliant.

Timeframe for storing personal data

The data in question will be retained throughout the business relationship only, or for the length stipulated to comply with legal and tax obligations. Once I have started working on your project, I am obliged to retain your personal data for six years to comply with tax obligations.

Legal grounds on which personal data is processed

The legal basis for processing your personal data is to perform a service you requested or to take necessary steps prior to fulfilling that request (“Performance of a Contract”, GDPR Art. 6.1b) as well as to comply with legal requirements.

Your rights and obligations

You are entitled to access, modify, erase or contest the personal data that I hold, in accordance with the European General Data Protection Regulation (EU) 2016/679. Please send you request to me using the contact form provided, and I will act upon this as soon as possible, within a maximum of one month from the date of your request.

Please contact me at info@lily-translations.com if you have any concerns about how I process your personal data. You also have the right to lodge a complaint with the data supervisory authority in the UK (Information Commissioner’s Office) or in the country where you live.

Breaches of personal data

In the event of a security breach of personal data, e.g. due to theft or unlawful access, I will notify the data supervisory authority in the UK (Information Commissioner’s Office) within 72 hours of this security breach. Notifications will be done electronically via the authority’s online portal at https://ico.org.uk/ and will include all the information necessary to clarify the circumstances under which this breach happened.
